CareLine

Service Terms

The agreement between your agency and us for CareLine. Last updated October 20, 2026. The Pilot terms and our Privacy Notice are part of it.

In short. CareLine is a business service for home care agencies. You decide who you hire. The AI answers calls from your requirement sheet, and a person at your agency makes every hiring decision. We do not promise results. Our liability is limited to the greater of what you paid us in the last three months or $1,000. Wyoming law applies, and disputes go to individual arbitration after 30 days of talking first.

1. Who we are and what these terms cover

CareLine is provided by Wealthboosterpro LLC (doing business as Business Intelligence DNA), 5830 E 2nd St Ste 7000, Casper, WY 82609, USA (“we”, “us”). “You” means the home care agency that orders CareLine, and the company or person who accepts these terms for it. CareLine is sold to businesses only. These Service Terms cover the hiring line, the dashboard, the daily summary and the related emails (together, the “Service”). Our other services are covered by the general Terms and Privacy Policy on businessinteldna.com.

Hiring line only, and no HIPAA role. The hiring line is an automated intake and interview-scheduling line for people applying for jobs with your agency as caregivers, home health aides, certified nursing assistants and personal care attendants. The applicant information it handles (name, area, certificates, availability, and work authorization as a yes/no answer) is employment-record information that you hold as an employer. Under the HIPAA Privacy Rule, 45 CFR § 160.103 (definition of protected health information, paragraph (2)(iii)), employment records held by a covered entity in its role as employer are not protected health information. For the hiring line we therefore do not act as your business associate, and no business associate agreement is needed. That depends on you using the line only for hiring, as Section 4 requires. The same applies to the modules in Section 3 that work without patient health information: call-offs use only employment records, family call routing only connects the call, and the EVV check runs on your computer, so we do not create, receive, maintain or transmit protected health information for them.

2. How the agreement is made

The agreement starts when you pay for the pilot through the payment button on this site, or when you accept in writing by email. By doing so you confirm that you have read these Service Terms, the Pilot terms and the Privacy Notice, that you are at least 18, and that you have the authority to bind your agency. If these documents differ, the Pilot terms come first for anything about the pilot, then these Service Terms, then the Privacy Notice.

3. The Service

  • The hiring line. An AI phone line that answers calls to your job-ad number 24/7 in English, Spanish and Russian, asks the requirement questions from your requirement sheet, and books interviews on your interview calendar. Only the yes/no requirements you set can end an application, they are applied by fixed rules and not by the AI model, every applicant is saved with the reason, and CareLine does not score, rank or rate anyone; you and your coordinator make every hiring decision. It tells every caller that it is an AI and that the call is saved as a text transcript.
  • The dashboard and summary. A dashboard with every call, transcript and applicant card, and a summary email each morning at 7 AM.
  • Emails and texts. Confirmations and reminders go to applicants by email. Text messages start only after your agency’s SMS registration is approved by the carriers. That is not guaranteed.
  • Modules without patient health information (included in the plan; we set up each one when you ask for it):
    • Shift call-offs and replacement. Your caregivers call or text when they can’t work a shift. The line takes only the caregiver’s name and phone, the shift number or time and a reason category (personal, sick or emergency, transportation, other), and offers the shift to other caregivers by your rules using only caregiver data: work zone, language, skills, hours and text consent. It never asks for or keeps a client’s name, code, address, ZIP code or health information; these are employment records you hold as an employer (45 CFR § 160.103, paragraph (2)(iii)).
    • Family call routing. Calls from families about care are connected to your coordinator during your office hours; after hours the caller is asked to call back. No AI conversation takes place and we keep only the time and outcome of the call, not the caller’s number.
    • EVV check before billing. A page that checks your visit export by state rules inside your own web browser. The file stays on your computer: it is not uploaded, and we never receive the file or the results.
    • Invoice drafts. A page that prepares draft invoices for your clients from your own visit export, inside your own web browser. Invoice drafts are prepared in your browser from your own data. CareLine does not receive them and does not collect or process payments between you and your clients. You are responsible for the accuracy of the invoices you send.
  • Full family intake. A family intake line that collects care needs and insurance or Medicaid details involves protected health information. It starts only after you and we sign a business associate agreement (BAA). Integrations with your scheduling, billing or EVV systems are not part of the pilot.

We may improve or change the Service. We will not remove a core feature during a pilot or a paid month without telling you first.

4. What you are responsible for

  • Your hiring. You decide whom to interview and hire. The line applies the requirements you set. A person at your agency makes every hiring decision. You are responsible for your requirements, your job ads and your decisions.
  • The law that applies to you. You are responsible for following the employment, anti-discrimination, privacy, telephone and text-message laws that apply to your agency and to the places where you hire. Some places have rules for automated tools used in hiring, such as notices to candidates or bias audits. Tell us before the line starts if a rule like that applies to you, so we can talk it through. We do not give legal advice and we do not certify that your use of the Service complies with any law.
  • Accurate information. The requirement sheet, interview hours, calendar access, backup phone number and email addresses you give us must be accurate and kept up to date. You confirm that you may give us access to the calendar and the phone numbers you share, and that you may forward your job-ad number to the line.
  • Hiring only, no patient data. Use the hiring line only for job applicants. Publish its number only in job ads and hiring materials, and do not forward your main office line, your clients’ numbers or your coordinators’ client-care lines to it. Do not send us information about your clients (patients), and do not route client, patient or clinical care calls to the hiring line. Every call opens by telling the caller that the line is for job applicants only and giving your main office number to anyone calling about a client or an active shift, so you must give us that number. The line is not for emergencies.
  • Caregiver schedule only. For call-offs, give us only caregiver schedule data: caregiver name and phone, shift number, start and end time, the language and skills needed and the caregiver’s work zone. Do not send client names, client codes or IDs, addresses, ZIP codes, Medicaid numbers or any health information, and do not use shift numbers built from client initials or IDs.
  • Fair use. Do not use the Service for anything unlawful, deceptive or harassing, do not try to break or overload it, and do not tell the line to hide that it is an AI.
  • Your account key. Keep your dashboard key private. Tell us right away if you think someone else has it.

5. AI and its limits

The line uses artificial intelligence and can make mistakes, mishear names or numbers, or misread a caller. It is set up to answer from your sheet and to take a message when it does not know. You can read every transcript in the dashboard. CareLine is not legal, HR, medical or billing advice, and it does not replace your coordinator or recruiter. We do not promise any number of calls, applicants, interviews, hires, filled shifts or savings.

Not an automated employment decision tool. The Service works in a deterministic mode. The AI voice agent acts as an interactive conversational receptionist: it speaks with the caller, translates and transcribes the factual answers. Any knockout decision is made only by your own yes/no requirements, applied by fixed rules. The Service does not generate personality scores, sound or sentiment measures, or candidate rankings, and your hiring coordinator alone reviews, approves or rejects applicants. For these reasons we do not consider the Service an “automated employment decision tool” under New York City Local Law 144. The opening of every call tells the caller that they are speaking with an automated AI hiring assistant, which can help with the notices some states require, but you remain responsible for the notices and rules that apply to your hiring (see Section 4).

No voice analysis. The line transcribes only the literal content of what a caller says. CareLine never analyzes vocal pitch, stress, tone, emotion, pace, accent or voiceprints to evaluate truthfulness or personality (California Penal Code § 637.3). If a caller mentions a patient’s name or health details, the assistant is instructed to leave them out of the applicant card and the summary.

6. Fees and payment

One plan covers every part of the Service that does not handle patient health information: the hiring line, shift call-offs and replacements, family call routing, the EVV check and invoice drafts. There are no separate prices per module. Full family intake is priced separately and only after a business associate agreement is signed.

  • Pilot. $300, paid by card through Stripe when you sign up, for 14 days from the day the line starts answering. Refunds, the launch guarantee and what it does not cover are in the Pilot terms.
  • After the pilot. The day after the 14 days end, the monthly plan starts automatically: $390 per month, with no setup fee. The month includes 600 minutes of calls, and extra minutes cost $0.25 each and are added to the next charge. We email you the date of the first charge before it happens. If you cancel before the pilot ends, you pay nothing more.
  • Recurring payments. By paying for the pilot you also accept the monthly plan. You authorize us to charge your card through Stripe every month, in advance, starting the day after the pilot ends, until you cancel. The plan renews automatically at the start of each billing period. You can cancel at any time by email or through the link in your Stripe receipt email. The cancellation takes effect at the end of the billing period you have already paid for, and you keep the Service until then. We do not refund the unused part of a billing period or unused minutes, unless the law requires it or the launch guarantee in the Pilot terms applies. We will tell you by email before each change of price, as set out below.
  • Text-message registration. Text messages need a carrier registration (A2P 10DLC) in your agency’s own name and EIN. You must give us accurate business registration details, and texts start only after the carriers approve it.
  • Taxes and card fees. Prices are in US dollars and do not include taxes, if any apply. Card and payment processing is handled by Stripe under its own terms.
  • Fee changes. We will give you at least 30 days’ notice by email before changing the monthly price. If you do not agree, you can stop before the change takes effect.

7. Your data and ours

You own the information you give us and the information about your applicants that the line collects for you. You give us permission to use it only to provide the Service to you, as described in our Privacy Notice. We do not sell it. On request, or after you stop, we delete it as the Pilot terms say. We own the Service, our software, our scripts and prompts, and the way they work. You may give us feedback and we may use it to improve the Service without owing you anything.

8. Companies that help us run the Service

You acknowledge that the Service relies on these sub-processors:

  • Twilio, Inc. for telephone numbers, calls and text messages;
  • ElevenLabs, Inc. for the voice agent (speech to text and the voice you hear), using the AI language models it provides from Google (Gemini) and OpenAI; we have set it not to save call audio and to delete transcripts on its side after 30 days;
  • Google LLC for the interview calendar and for our email;
  • Resend for email delivery;
  • Netlify, Inc. for website hosting and the Service’s storage;
  • Stripe, Inc. for payments.

The Privacy Notice explains what each one receives. We choose them with care, but they run their own systems and we do not control them. We are responsible to you for how we use them, not for outages or faults inside their systems, except as set out in the Pilot terms.

9. Audio, transcripts and your records

  • No audio. We do not record or keep audio of calls. Audio is processed live to turn speech into text and is not written to storage by us.
  • Transcripts for 30 days. Text transcripts and call summaries are kept in our system for thirty (30) calendar days, so that you can review them, check them and move what you need into your own applicant tracking system or personnel files. After that they are deleted.
  • You keep your own applicant records. Federal and state employment laws, including the EEOC rule at 29 CFR § 1602.14 and California Government Code § 12946, require employers to keep job-applicant records for periods of one to four years. Because we delete transcripts after 30 days to hold as little data as possible, you are solely responsible for your permanent applicant and personnel records: copy what you need from the dashboard and the daily summary emails within those 30 days. Applicant cards stay in your account during the pilot or subscription; transcripts and call summaries do not.
  • Consent log for 5 years. When an applicant agrees by voice to receive text messages, we keep a separate consent record (the question asked, the applicant’s answer, the phone number, the date and time in UTC and the call ID) for five (5) years, even after the transcript is deleted, to be able to prove the consent.

10. Confidentiality

Each side will keep the other’s non-public business information confidential, use it only for this agreement and share it only with people who need it for that. This does not cover information that is public, that the other side already had, or that the law requires to be disclosed. We do not need access to your bank accounts, your billing system or your client records.

11. No warranties

We work hard to keep the Service running, and we stand behind the launch guarantee in the Pilot terms, with the exclusions listed there (text messages, forwarding calls from your existing number, and delays in your answers). Apart from that, the Service is provided “as is” and “as available”. We make no promise that it will be uninterrupted or error-free, that every call will be answered or understood, or that it will meet your hiring goals. If your phone or internet provider, or ours, has an outage, calls may not reach the line. The law may give you rights we cannot take away, and this section does not try to.

12. Limit of our liability

To the extent the law allows: (a) neither of us is liable to the other for indirect or consequential losses, such as lost profits, lost hires or lost business, even if we were told they were possible; and (b) our total liability to you for everything connected with the Service, under any contract, tort or statute, is limited to the greater of (i) the amount you paid us in the three months before the event that gave rise to the claim and (ii) one thousand dollars ($1,000). A refund under the launch guarantee is not counted against that limit. Nothing here limits liability that cannot be limited by law, such as for fraud or willful misconduct.

13. Your promises to us

You will cover our reasonable costs, including legal fees, from claims by third parties that come from your job ads, your requirements and instructions, your decisions about applicants, your breach of Section 4, or your use of the Service in violation of the law. We will tell you promptly about any such claim and let you help defend it.

14. Stopping the Service

You can stop at any time by email, as the Pilot terms describe. We may pause or end the Service if you break these terms or the law, if the Service is being misused, or if a payment is not made. We will tell you first when we reasonably can. When the Service ends, we handle your data as the Privacy Notice and the Pilot terms say, and we ring your backup number for 30 days. Sections that by their nature continue (confidentiality, liability, your promises, governing law) stay in force.

15. Changes to these terms

We may update these Service Terms. We will give you at least thirty (30) days’ advance notice of material changes by email to the administrative email address you gave us; other changes apply from the date they are posted. If you keep using the Service after that date, the new terms apply. If you do not agree, you can stop before then. The date at the top shows the current version.

16. Law and disputes

These terms are governed by the laws of the State of Wyoming, USA, without regard to its conflict-of-laws rules.

  • Talk first. Before either side starts any formal proceeding, it will send the other a written notice of the dispute (to us at support@businessinteldna.com) and both sides will negotiate in good faith for at least thirty (30) calendar days.
  • Arbitration. A dispute or claim arising out of or relating to these terms or the Service that is not settled that way will be decided by binding arbitration administered by the American Arbitration Association (AAA) under its Commercial Arbitration Rules. The place of arbitration is Casper, Wyoming. For claims under $50,000, hearings are held by video conference or on written submissions only.
  • Individual claims only. ALL CLAIMS MUST BE BROUGHT IN THE PARTIES’ INDIVIDUAL CAPACITY, AND NOT AS A PLAINTIFF OR CLASS MEMBER IN ANY PURPORTED CLASS OR REPRESENTATIVE PROCEEDING.
  • Exceptions. Either side may bring an individual claim in a small-claims court of competent jurisdiction, and may ask a court for emergency preliminary injunctive relief to protect intellectual property or to stop unauthorized use or misuse of the Service.

17. General

  • Whole agreement. The Pilot terms, these Service Terms and the Privacy Notice are the whole agreement about CareLine and replace earlier talks or promises. Our general Terms on businessinteldna.com do not apply to CareLine.
  • If a part is invalid, the rest still applies.
  • Transfer. You may not transfer the agreement without our written consent. We may transfer it as part of a sale or reorganization of our business, and we will tell you.
  • Notices. We send notices to the email address you gave us. You send notices to support@businessinteldna.com.
  • Events outside our control (for example outages of telephone, internet or power networks, or acts of government) do not count as a breach by either side while they last.
  • No third-party rights. Only you and we can enforce these terms.
  • Language. These terms are made in English. Any Russian, Spanish or other translation on this site is provided for convenience only. If there is any conflict, ambiguity or difference between the English version and a translation, the English version governs and controls.
