CareLine

Privacy Notice

What CareLine collects, why, who sees it and how long we keep it. Last updated October 20, 2026.

In short. The line saves a text transcript of each call and does not save the audio. It does not analyze anyone’s voice, tone or emotions. Transcripts and summaries are deleted 30 days after the call; the record of a text-message consent is kept for five years. We use the information only to run CareLine for your agency. We do not sell it and we do not use it for advertising.

1. Who this covers and who is responsible

CareLine is provided by Wealthboosterpro LLC (doing business as Business Intelligence DNA), 5830 E 2nd St Ste 7000, Casper, WY 82609, USA (“we”, “us”). This notice covers three groups of people: callers (for example job applicants who call an agency’s line), agency staff who use CareLine, and visitors to this website. For calls, the agency that runs the line decides why and how applicant information is used, and we handle it on the agency’s behalf. For agency staff and website visitors, we decide. This notice does not cover our other services; their policy is on businessinteldna.com.

The hiring line is for job applicants only. The applicant information it collects is employment-record information that the agency holds as an employer, which the HIPAA Privacy Rule excludes from protected health information (45 CFR § 160.103, paragraph (2)(iii)). For the hiring line we are not a HIPAA business associate. Every call opens by telling the caller that the line is for job applicants only, and callers are asked not to share client or patient health information.

The same holds for the modules that work without patient health information. The call-off line keeps only caregiver information (name, phone, shift number and time, a reason category, language, skills and work zone) and asks caregivers not to mention any client. Family call routing keeps only the time and outcome of each call, not the caller’s number. The EVV check and the invoice drafts run inside the agency’s own web browser: the visit file, the results and the invoices never reach us. A full family intake line, which would collect care needs and insurance details, starts only after a business associate agreement is signed.

2. What we collect

From callers

  • The phone number that called, and the date, time and length of the call.
  • A text transcript of the conversation, in the language the caller used. The caller’s voice is processed live during the call to turn it into text; we do not record or save the audio.
  • What the caller tells the line when answering the requirement questions: name, email address if given, work certificate (such as HHA, PCA or CNA), area, transport, days and hours, languages, experience, and whether the caller is authorized to work, as a yes or no question. The line never asks about citizenship or national origin.
  • The interview that was booked, the confirmation we sent, and a record that the caller was told they were speaking with an AI and that a transcript is saved.
  • Text messages exchanged to confirm and remind about the interview, and, if the caller agreed by voice to receive them, the consent record described in Section 7.

The hiring line is not meant for health information. If a caller volunteers a patient’s name or health details anyway, the assistant is instructed to leave them out of the applicant card and the summary; because the transcript holds the words that were said, they may appear in it until it is deleted after 30 days.

From agency staff

  • Name, work email, phone numbers (including the backup number and the coordinator’s number), agency name and, for text-message registration, the company’s legal name and EIN.
  • The requirement sheet, interview hours and the interview calendar you share with us.
  • Payment details are handled by Stripe. We receive a receipt record, not your full card number.
  • Records of dashboard use and actions in the account, for security and support.

From website visitors

  • Basic technical logs kept by our hosting provider, such as IP address, browser type and the pages requested.
  • We count visits and button clicks (call, pilot, language) to see which pages work. The count uses no cookies and does not store your IP address or any identifier. We record only the page, the date, the kind of device (touch or desktop), where you came from in broad terms (direct, search, email, AI assistant or other), the campaign tag in the link, if any, and the language. Page views and clicks cannot be traced back to you.
  • We use no advertising or tracking cookies. Your browser stores a setting for light or dark display and, if you open the dashboard, your dashboard key on that device. You can remove the key with “Forget this device”.
  • The pages load fonts from Google Fonts, so Google receives your IP address when a page loads.
  • If you write to us, we keep your message and our reply.

3. What we never collect

  • We do not record or store raw voice audio files.
  • We do not collect biometric facial geometry, iris scans or voiceprints.
  • We do not analyze vocal tone, emotional stress or pitch to evaluate truthfulness, personality or a candidate (California Penal Code § 637.3). The line transcribes only the literal content of what is said.
  • We do not ask for or store Social Security numbers or driver’s license numbers.
  • We do not sell personal information or share it with data brokers or third-party advertisers.

4. Why we use it

  • To answer calls, ask the agency’s requirement questions, record the answers and the reason for any unmet requirement on the applicant’s card for the agency, and book and confirm interviews.
  • To show the agency every call, transcript and applicant in its dashboard and in the morning summary.
  • To send confirmations, reminders and service emails, and, after registration, text messages.
  • To set up, bill, secure and support the Service, to prevent misuse, and to meet legal duties.
  • To fix problems with the line and improve how it works, using the agency’s own call records and only as needed for that.

We do not sell personal information, we do not share it for advertising, and we do not use callers’ information to market to them.

5. Who receives it

  • The agency whose line the caller reached.
  • Telephone and voice providers. Twilio connects the calls and carries texts. ElevenLabs runs the voice agent: it turns speech into text, produces the voice you hear, and uses AI language models (from Google and OpenAI) to decide what to say. Audio is processed live for this and is not saved by us.
  • Google for the interview calendar and for our email.
  • Resend to deliver emails.
  • Netlify to host the website and store the Service’s records.
  • Stripe to take payments.
  • Advisers, such as lawyers and accountants, and public authorities when the law requires.
  • A buyer, if our business is sold or reorganized, with the same protections for your information.

These companies may use the information only to provide their service to us, under their own terms. Some of them keep their own basic logs, such as call times and delivery records. They may process information in the United States and in other countries where they operate.

6. Notice at collection (California and other states)

When you call the hiring line we collect the categories listed in Section 2 (identifiers such as your phone number and name, the contents of your answers, and call and text records) for the purposes listed in Section 4, and we keep them for the times listed in Section 7. We do not sell or share them for advertising. You can ask to see or delete your information by texting PRIVACY to the hiring number or by emailing support@businessinteldna.com; see Section 9.

7. How long we keep it

  • Raw audio: 0 days. It is processed live and never written to storage by us.
  • Call transcripts and summaries: deleted from our system 30 calendar days after the call. The agency, as the employer, keeps its own applicant records for the time the law requires (one to four years in many places); that is the agency’s duty, not ours.
  • Text-message consent records (the consent question and the caller’s answer, caller ID, date and time in UTC, call ID): kept for five (5) years from the date of consent, separately from the transcript, to prove consent under the telephone and text-message laws (47 U.S.C. § 227; 28 U.S.C. § 1658(a)).
  • Applicant cards and the requirement sheet: kept in the agency’s account during the pilot or subscription. On request, or after the agency stops, we delete them within 10 business days and confirm by email, except the consent records above, which the law lets us keep to defend against claims. If the agency wants a copy, we send it first.
  • Payment and tax records: kept as long as the law requires.
  • Website logs and emails to us: kept for a limited time for security and support, then deleted.
  • Our providers keep some basic records on their own schedules.

8. Text messages

Text messages to applicants start only after the agency’s SMS registration is approved by the carriers. They are service messages about an interview the applicant asked for, such as a confirmation or reminder, and are sent only to people who agreed to receive them. The agreement is given by voice during the call, after the assistant asks: “May we send automated text messages to this phone number with your interview confirmation and reminder? You can reply STOP anytime to opt out.” We keep the question, the answer and the details in Section 7. The first text names the agency and says how to opt out. Reply STOP to stop and HELP for help. Message and data rates may apply. We do not share mobile phone numbers or text-message consent with third parties for their marketing.

9. Your choices and rights

You can ask us for a copy of your information, or ask us to correct or delete it, and a caller can ask us to delete the record of their call. California applicants and residents of other states with privacy laws have the right to request access to, correction of or deletion of their personal information. Text PRIVACY to the hiring number, or write to support@businessinteldna.com. We confirm your identity within 10 business days and complete the request within 45 calendar days. We keep the text-message consent record described in Section 7 even after a deletion request, because the law lets us keep it to defend against claims. For calls, we may pass your request to the agency that runs the line, because it decides how applicant information is used, and we will help it respond. Depending on where you live, such as California or other states with privacy laws, you may have further rights, including the right to know what is collected and to appeal a refusal. We will not treat you worse for using them. We may need to confirm who you are first.

10. Security

We use reasonable measures to protect information: connections are encrypted, dashboard access needs a private key, access is limited to the people who need it, and actions in the account are logged. No system is completely secure, and we cannot promise otherwise. If we learn of a breach that affects your information, we will tell the agency without undue delay.

11. Children

CareLine is for adults. It is not directed to anyone under 18, and we do not knowingly collect information from them.

12. Automated questions and hiring decisions

The line asks the requirement questions on the agency’s sheet and books interviews. Only the agency’s own yes/no requirements (for example, a required certificate or legal authorization to work) can end an application. Fixed rules apply them to the caller’s answers; the AI model does not decide who qualifies, and CareLine does not score, rank or rate applicants. Every caller, including one who does not meet a requirement, is saved with the reason so the agency can see the application, and a person at the agency reviews every application and makes every hiring decision. A caller who says they were misunderstood can ask for a coordinator’s call-back, and that request is recorded for the agency. The agency can read every transcript. The service does not generate personality scores, sound or sentiment measures, or rankings, and it does not analyze the caller’s voice. Agencies are responsible for any notices that laws on automated hiring tools require where they hire.

13. Changes and contact

If we change this notice in a way that matters, we will update the date above and, for agencies, tell them by email at least 30 days before the change takes effect. This notice is written in English; Russian and Spanish versions are provided for convenience only, and the English version governs. Questions or requests: support@businessinteldna.com, or Wealthboosterpro LLC (doing business as Business Intelligence DNA), 5830 E 2nd St Ste 7000, Casper, WY 82609, USA.
